Planet Education Consultants ("PEC", "we", "us") respects your privacy. This Privacy Policy describes the personal information we collect when you interact with us, how we use it, who we share it with, how long we keep it, and the choices you have. It applies to our website at planeteducationconsultants.com, our in-person consultations at our Kampala office, and the digital tools we use to manage applications.

What we collect
We only collect information that is necessary to provide the services you have asked for.
Contact information. When you submit our contact form, book a consultation, or email us, we collect your name, email, phone number, country of interest, and the message you send.
Enrollment information. When you start a formal application through our enrollment form, we collect personal information (full name, date of birth, gender, nationality, passport or national ID number, mobile number, email, home address), guardian or parent information, academic background (education level, school, year of completion, qualifications), programme details (study destination, programme applied for, preferred intake, mode of study), and emergency contact information.
Application documents. During the application process, you may share with us academic transcripts, passport copies, photographs, language test results, statements of purpose, recommendation letters, financial statements, and similar documents required by the institutions you apply to.
Communications. We keep records of emails, phone calls, WhatsApp messages, and meeting notes related to your application so that any counsellor on our team can pick up your case at any time.
Technical information. When you visit our website we collect basic technical data such as your IP address, browser type, device type, pages visited, and the time of your visit. If analytics are enabled, this is aggregated through Google Analytics 4.
Why we collect it and how we use it
We use the information you provide to:
- Respond to enquiries and book consultations.
- Match you with suitable institutions and programmes.
- Prepare and submit applications on your behalf to the institutions you have chosen.
- Coordinate with visa offices, embassies, accommodation partners, and payment partners as your application requires.
- Communicate with you about your application status, deadlines, and next steps.
- Send service-related notices and, where you have consented, occasional updates about scholarships, intakes, or new destinations.
- Comply with our legal obligations under Ugandan law and the Data Protection and Privacy Act, 2019.
- Improve our services through anonymised analysis of website usage and application outcomes.
Who we share your information with
We only share your information when there is a clear reason to do so:
- Partner institutions. When you formally apply to an institution we submit the documents required for that application. We do not send your information to any institution without your instruction.
- Payment partners. If you choose to use Flywire to pay tuition, your payment details are processed by Flywire under their own terms and privacy policy.
- Accommodation and platform partners. Where you opt in, we share contact details with Canada Homestay Network, Expatrio, ApplyBoard, GEDU, or the British Council so they can complete their portion of your journey.
- Service providers. We use Laravel-hosted infrastructure, email delivery services, and customer relationship tools that process information on our behalf under strict contractual safeguards.
- Regulators and authorities. If we are legally compelled to disclose information by Ugandan authorities, a court order, or a destination country embassy.
We do not sell your personal information to anyone for marketing purposes.
How long we keep your information
- Contact form submissions are kept for 24 months from the last contact.
- Enrollment data and application documents are kept for 7 years after your application closes, to satisfy compliance requirements with partner institutions and immigration authorities.
- Marketing email lists are kept until you unsubscribe.
- Anonymised analytics are kept for 26 months by Google Analytics.
After these periods we delete or anonymise the records.
Your rights
Under Ugandan data protection law you have the right to:
- Access the personal information we hold about you.
- Correct information that is inaccurate or incomplete.
- Delete your information, subject to retention requirements for active applications and legal obligations.
- Object to certain uses, including direct marketing.
- Withdraw consent you have previously given.
- Lodge a complaint with the Personal Data Protection Office of Uganda if you believe we have not handled your information properly.

Cookies
We use cookies and similar technologies to operate the website. Essential cookies are required for forms, sessions, and security. Analytics cookies, where enabled, help us understand how visitors use the site so we can improve it. You can disable non-essential cookies through your browser settings without losing access to the site.
Security
We protect your data through encrypted transmission (HTTPS), restricted access controls within our team, and regular reviews of how we store information. No system is perfectly secure, but we take reasonable precautions in line with industry practice.
Children
Our services are aimed at students of higher education age. Where an applicant is under 18, a parent or guardian must be involved and must consent to our processing of the minor's information. We do not knowingly collect data from anyone under 13.
Changes to this policy
We may update this policy from time to time. The effective date at the top will change, and significant changes will be communicated on the website or by email to existing applicants.
